Our goal as property manager is to manage our client’s properties to the extent that their only involvement with their property is to receive a rental revenue check and a monthly income statement each month. Unlike most property management firms, we charge no mark up on services charged by vendors that service properties under our management. There is a strong relationship between rental property profitability and the retention of responsible tenants. We minimize tenant turnover and its resulting leasing and vacancy expense by developing string landlord tenant relationships based on expeditious response to tenant concerns and cheerful customer service.
We run credit reports on prospective tenants as soon as we receive the application. In addition to the credit report, we verify given information by interviewing present and previous landlords as well as their employers.
Our management fee is based on rental revenue actually received (not gross rent roll) so, we have a personal incentive to make sure your units are always rented at the highest rent the market will bear and that rent collection is aggressively pursued. We periodically conduct rental market analysis and review all rental agreements to ensure your units are always rented at or above market rate. We monitor lease expirations; negotiate, and promote renewals. When it is necessary to completely follow through on an eviction action, we manage every step of the process, from maintaining and providing complete lease files to hiring a lawyer to represent our clients in court.
Included at no extra charge, our new and always improving website is available 24 hours a day to landlords and tenants offering useful information, downloadable and printable forms, and convenient electronic communication systems like the ‘Request for Repair Form’ to enable our clients to reach us anytime. Phone calls are optional and only necessary when immediate attention is needed. Applicants can download the ‘Rental Application Form’ or apply online from our website. Colored flyers are available in our office and at the property. The properties are also listed on Craigslist and various other web sites. We are the only management company in Terre Haute Indiana that runs a full color newspaper ad daily.
Before new tenant occupancy we inspect the property to verify move-in condition. A “Move-In” report is generated and a digital camera will be used to record the visual inspection. The same process will apply at the move-out phase. During the rental period we perform periodic drive-by inspections to check for apparent abnormalities. A written notification will be sent to the tenant if a violation of house-rules or regulations is noted. If necessary an inside inspection will be performed. The neighbors will also be informed that Dillion Property Pros In. is managing your property and we will supply them with our contact information, in the event that something they believe needs our attention occurs.
We offer flexibility in using your choice of professionals, or use our bonded service team. We use our in house service team when possible and hire outside contractors when necessary to perform property maintenance and repairs. We will make recommendations to clients on making improvements to the properties when we feel doing so will enable them to raise their rents and increase the return on their investment. We are available 7 days a week to insure prompt response to maintenance and repair requests.
At no extra cost, we will manage the paying of bills related to clients’ properties out of their rental revenue and provide our clients a monthly income and expense statement detailing their properties’ performance for the month, if client requests, we will attach copies of all maintenance and/or repair invoices or otherwise all invoices are kept on file in the management office. We scrutinize bills for accuracy and handle the resolution of billing discrepancies. We use state of the art web based property management and accounting systems.
Our fees are not based on a percentage of a client’s gross rent roll. It is based on a percentage of gross rent collected each month, depending on how large the rent roll is. Basing our fees on rent collected ensures you do not have to pay a fee based on rent that is not even received as you might with other property managers.
